Privacy Policy

Effective date: October 16, 2026

This Privacy Policy explains how [Woven's legal entity name] (“Woven,” “we,” “us,” or “our”) collects, uses, stores, and discloses personal information when you visit our website, use the Woven writing application, or interact with us.

This policy applies to our public website at wovenwrite.com, the Woven writing application, including our beta program, and related services that link to this policy (collectively, the “Services”).

We collect and use personal information for purposes reasonably necessary to provide, maintain, secure, and improve our Services. We handle personal information in accordance with applicable privacy laws.

We may update this Privacy Policy from time to time. We will publish the revised version on our website and update the effective date. Where required by law, we will provide additional notice or obtain consent for material changes.

1. Information We Collect

The information we collect depends on how you interact with Woven.

Information you provide to us

We may collect personal information that you voluntarily provide, including:

  • Account information, such as your name, email address, and account credentials.
  • Writing and project content, including drafts, notes, characters, settings, research, references, images, and other information you choose to store in Woven.
  • Communications, including messages you send when contacting us with questions, requesting support, or reporting an issue.
  • Feedback and product research, including survey responses, product suggestions, and feedback shared during conversations with Woven's directors or team members.
  • Marketing preferences, such as whether you choose to receive product updates or other promotional communications.

If you participate in Woven's beta program, we may contact you directly to ask about your experience, invite you to participate in interviews or surveys, gather feedback about your writing workflow, and inform ongoing product development. Participation in this research is voluntary.

Please avoid submitting sensitive personal information about yourself or others unless it is necessary for your use of the Services.

Information collected automatically

When you visit our website or use the application, we and our analytics service providers may collect technical and usage information, including:

  • IP address and network information.
  • Browser type, operating system, and device information.
  • Pages and screens viewed.
  • Interactions with website content and application features.
  • Session, navigation, and performance information.
  • Error reports and diagnostic information.
  • Cookie identifiers and similar technologies, where applicable.

The information collected depends on the technology involved, your device and browser settings, and our configuration of the relevant services.

Information from third parties

We may receive limited information from third-party service providers that support account authentication, hosting, analytics, or other functions of the Services.

2. How We Use Information

We use personal information for purposes reasonably necessary to operate, maintain, and improve Woven, including to:

  • Create, authenticate, and manage user accounts.
  • Store, organize, retrieve, and display your writing and project content.
  • Provide the features and functionality you request.
  • Respond to inquiries and provide customer support.
  • Troubleshoot technical issues and maintain the security and reliability of the Services.
  • Understand how visitors and users interact with Woven.
  • Evaluate usability, feature engagement, and product performance.
  • Conduct user research and analyze feedback voluntarily provided to us.
  • Contact beta users directly to invite them to provide feedback, participate in research, or discuss their experience with Woven.
  • Send service announcements, security notices, and other account-related communications.
  • Send optional product updates or promotional communications where permitted by law and consistent with your preferences.
  • Detect misuse, investigate security incidents, and protect Woven and its users.
  • Comply with legal obligations and enforce our agreements.

We will not use personal information for materially different purposes without providing notice and obtaining consent where required by law.

3. Writing and Project Content

You retain ownership of the writing, ideas, research, and other content you create or upload to Woven, subject to any rights you grant us under our Terms of Service.

We process your content as necessary to provide the Services, including storing, organizing, displaying, and transmitting it so you can access and work on your projects.

We may access content when reasonably necessary to provide technical support, maintain or secure the Services, investigate suspected misuse, or comply with legal obligations. We seek to limit such access to what is necessary for the relevant purpose.

We do not publish your private projects or make them available to other users unless you choose to share them through a feature we provide or otherwise authorize the disclosure.

We do not claim ownership of your creative work simply because you store it in Woven.

4. Use of Artificial Intelligence

Woven does not use generative artificial intelligence to process, generate, or modify users' writing or project content. We do not use users' writing or project content to train generative AI models.

We may update this policy if our practices change. Any changes will be communicated, and any consent required by applicable law will be obtained before implementing the relevant practices.

5. Analytics, Cookies, and Similar Technologies

We use analytics tools to understand how people interact with Woven, identify usability issues, and improve the experience. The tools we use differ between our public website and the writing application.

Public website — Google Analytics 4

We use Google Analytics 4 (GA4) on our public website to understand website traffic and visitor behaviour.

GA4 may collect information such as pages visited, interactions with website content, referral sources, browser and device information, and approximate geographic information derived from technical data.

GA4 may use cookies and similar technologies to collect information about website usage. The information collected depends on our analytics configuration and your browser or privacy settings.

Woven application — Google Analytics 4

We also use GA4 within the Woven application to understand product usage, evaluate feature engagement, identify usage patterns, and improve the application.

Information collected may include screen or page views, feature interactions, session information, and technical details about the device or browser used. The information collected depends on how GA4 is configured within the application.

Woven application — Contentsquare

We use Contentsquare within the Woven application to understand how users interact with the interface, identify usability issues, and improve the product experience.

Contentsquare may collect interaction, navigation, session, and technical information, depending on the features enabled and our configuration.

User-entered text is scrambled in Contentsquare. Contentsquare is configured so that user-entered text appears as scrambled characters rather than readable writing in session recordings. This safeguard helps us analyze how users navigate and interact with Woven without exposing the actual text of their work in those recordings.

Cookies and privacy choices

Cookies and similar technologies may be used to support essential functionality, remember preferences, maintain security, and measure usage.

You can manage or disable cookies through your browser settings, although some functionality may be affected. Where required by applicable law, we will provide appropriate notice and consent or preference mechanisms for non-essential analytics technologies.

For further information about how our analytics providers process information, consult their respective privacy policies:

  • Google Privacy Policy
  • Contentsquare Privacy Policy

6. When We Share Information

We do not sell personal information in exchange for money. We may disclose personal information in the following circumstances.

Service providers

We use third-party service providers to support the operation of Woven. Depending on the Services and their configuration, these may include providers for:

  • Website hosting and delivery.
  • Application hosting, databases, and data storage.
  • Account authentication and security.
  • Website and product analytics.
  • Customer communications and support.

These providers may process personal information on our behalf to deliver their services. We seek to use providers that apply appropriate safeguards and restrict their use of information to the purposes for which it is provided, subject to applicable terms and agreements.

Legal and security requirements

We may disclose information when reasonably necessary to comply with applicable law, respond to valid legal process, protect the rights and safety of Woven or others, or investigate suspected fraud, abuse, or security incidents.

Business transfers

If Woven is involved in a merger, acquisition, financing, restructuring, or sale of assets, personal information may be transferred as part of that transaction, subject to applicable legal requirements and appropriate safeguards.

With your direction

We may share information when you explicitly direct us to do so, such as when you choose to share content through a feature of the Services.

7. Data Storage, Security, and Retention

We use third-party infrastructure to operate Woven and store account and project information. Information may be processed or stored in Canada or other jurisdictions, depending on our service providers and their infrastructure.

We take reasonable measures designed to protect personal information against unauthorized access, loss, misuse, alteration, and disclosure. However, no online service or method of electronic storage can be guaranteed to be completely secure.

We retain personal information for as long as reasonably necessary to provide the Services, maintain your account, meet legal obligations, resolve disputes, and enforce our agreements.

If you would like your account and associated personal information deleted, contact us using the details in Section 12. We will review and process your request in accordance with applicable law.

Some information may need to be retained for legal, security, or operational reasons. Information stored in backups or held by service providers may not be removed immediately when a deletion request is processed.

8. Your Privacy Rights and Choices

Depending on your location and applicable law, you may have the right to:

  • Request access to personal information we hold about you.
  • Request corrections to inaccurate or incomplete information.
  • Request deletion of personal information, subject to applicable exceptions.
  • Withdraw consent to certain processing activities.
  • Object to or request restrictions on certain uses of your information, where applicable.
  • Ask questions or raise concerns about our privacy practices.
  • Make a complaint to the relevant privacy regulator.

You may choose whether to provide optional information or participate in surveys, interviews, and other product research. You may also choose whether to receive promotional communications.

You can unsubscribe from promotional emails using the unsubscribe mechanism provided or by contacting us. We may still send essential account, security, and service communications.

To exercise a privacy right or submit a privacy request, contact us at contact@wovenwrite.com. We may need to verify your identity before processing a request.

9. International Processing

Some of our service providers may process or store information outside your province or country of residence, including in jurisdictions where privacy laws may differ from those in your jurisdiction.

Where personal information is processed outside Canada, it may be subject to the laws of the jurisdiction in which it is processed and may be accessible to local authorities in accordance with those laws.

We take reasonable steps to select service providers and manage information in a manner consistent with applicable privacy obligations.

10. Children's Privacy

Woven is intended for people who are able to enter into an agreement to use the Services under applicable law. The Services are not directed at young children, and we do not knowingly collect personal information from children in circumstances where doing so would be unlawful.

If you believe a child has provided personal information to us inappropriately, please contact us so we can review the situation and take appropriate action.

11. Changes to This Privacy Policy

We may revise this Privacy Policy as Woven evolves. When we make changes, we will update the effective date and publish the revised policy on our website.

If a change materially affects how we handle personal information, we will provide additional notice or obtain consent where required by law.
